How Does a Predictive Dialer Work?

A Predictive Dialer systematically places calls from a database of phone numbers.  The dialing file can be built and queried to your specifications.  If you want to call just certain zip codes, people with the last name beginning with xxx, just certain prefixes, you just set up a query to pull that information into the dialing query. 

The best part is, you can decide how your campaign is dialed.

Not only can you can you capture data from your prospects, but their responses as well.

A Predictive Dialer is a living, growing Database that is Mined in the present, and it is also ideal for future prospecting.  The most successful campaigns are created by targeting your prospects based on the results of your previous calling campaigns. 

Whatever you can do manually, with a Predictive Dialer you can do it faster, be more efficient and leave little to no paper trail.

A Predictive Dialer works best with multiple agents and is used to increase productivity.  And that productivity can be measured in a number of different ways. 

  • Increase your agents talk time by 300%. Agents are able to speak to prospects 45 minutes of each hour and enter updates of pertinent information.

  • Most Quality Predictive Dialers have built in, detailed reporting features. Being able to confirm your prospects information vs. writing it down and having someone else type it in, can pay for the dialer by itself.

  • Monitoring and Live Recording.  Most quality predictive dialers have these features built in.  If you don't know if a particular dialer has the feature your looking for, ask us.  I can't say enough about this.  Nothing shows a client how good you are, as when you have the call they want, and your team did the right thing.  From that point on, your client will stand strong with you.


Used Predictive Dialer Checklist

  1.  Find out how many agents the Predictive Dialer can hold, and how many phone lines the system can support.

  2. Does it take a T1 or can you use analog lines?

  3. Make sure the system user-friendly, you want to spend as little time as possible to train your Telephone Sales Reps on how to use the Predictive Dialer correctly and how to enter accurate information and disposition the call correctly.

  4. Make sure you get Professional Installation and follow up IT Support.  We have a relationship with many Call Center IT end users that work with this.

  5. Determine whether the system you're considering is Windows or Linux-based. It's important to know whether you can run this unit yourself, or whether you’ll need a specialized IT person on-site.

  6. Inquire if the Used Predictive Dialer system under consideration leaves a message for answering machines. Can your agents set call-backs or set reminders?  Can your agents deliver e-mails or faxes?

  7. Additionally, make sure that the Predictive Dialer you choose can detect busy signals and disconnected numbers, as this will result in increased productivity for your agents.

  8. How long it takes to connect to an agent when it detects a live answer.  Rule of thumb is 8 – 12 seconds between live calls.  Ask for a report to show this.  If you can’t get this, then the folks you are buying from probably can’t get the machine working anyway, and you should pass on it.

  9. Ensure that the Used Predictive Dialer has a proven track record.

  10. In our opinion, don’t buy from a company that is less than 10 years old.  Don’t get a guinea pig, and don’t use VoIP!

  11. There are hundreds of dialer companies that have sprung up in recent years promising the moon.  You’ll find that most of these dialers will offer a nice GUI interface, but not much more than that.

  12. It takes decades to produce a solid, Predictive Dialer and work out all the kinks.  Companies like Amcat, Noble, Stratasoft, ChaseData, ETS and Sigmaworx are companies we recommend when choosing a Used Predictive Dialer because of their simplicity and their solid dialing algorithms.

  13. Select a dialer is compliant with recent changes in legislation and regulations involving telemarketing.

  14. Pick a system that supports a built-in "Do Not Call" list. You should also be able to add any number you do not wish to call or those on the Do Not Call registry. This is essential to avoid legal issues.
